How to plan a company holiday party or gala in a historic Westchester mansion: when to ask for dates, how guests move through the rooms, music after 10 pm, parking and shuttles for a larger group, and a seated dinner under carved ceilings.
A Westchester mansion turns a company holiday party into an occasion: guests arrive at a lit house, move through rooms with marble fireplaces and carved ceilings, and sit down to dinner in a ballroom. Alder Manor, a 1912 estate in Yonkers about 30 minutes by car from Columbus Circle, depending on traffic, hosts holiday parties, galas, client dinners and team celebrations. If you are comparing corporate holiday party venues near NYC, here is how to plan one that runs as well as it looks.
When should you book a corporate holiday party venue?
If your party has to fall on a Thursday or Friday in December, start early: those are the nights most companies want. If you can hold it earlier in the week, in early December, or in January to open the new year, you will usually have more choice. Weekdays and winter dates often offer more flexibility than spring and fall weekends.
Send your preferred date, a second choice, the headcount and the format, and we will reply with what is open and a proposal.
Plan the evening around the arrival
In December the sun sets at about 4:30 pm in Yonkers, so nearly every guest arrives after dark. Treat the arrival as the first scene: a clear drop-off, someone to take coats, and a drink in hand within a minute of coming through the door. At Alder Manor guests arrive through the Foyer, which works for welcome drinks and escort cards, before the party opens into the rooms beyond.
Let the rooms set the pace
A good holiday party has a shape. Cocktails in the Foyer and the Parlor, dinner or a program in a ballroom, then dancing or an after-party in the Library let the evening build instead of happening all at once. The house has two ballrooms, so a gala can hold its program in one and dinner in the other, or seat dinner across both.
For a seated dinner, the rooms do much of the work. Carved paneling, ornamental plaster ceilings and marble fireplaces need little more than flowers, good lighting and well-dressed tables. Ask us early about candles and decor: a historic house has rules about open flame and about fixing anything to its walls, and your designer will want to know them before sketching the room. Our estate page shows each room and how an evening moves between them.
Speeches, awards and audiovisual
If the evening includes a toast from the CEO, awards or a short film, place it before the main course or between courses, while everyone is seated in one room and listening. Audiovisual is arranged through our partners or your own production company. Share the run of show early so sound and screens are tested before the first guest arrives.
Music after 10 pm
Yonkers' noise code (City Code, Chapter 66) restricts amplified sound that carries across a residential property line from 10 pm, so plan for the dancing to be inside the house after ten, in any season. That suits a winter party: the band or DJ plays in a ballroom, the sound stays warm and contained, and the party carries on indoors until the end time in your contract. Agree on the end time, the last call and the moment the music stops at the start of planning, and write them into the run of show.
Parking and shuttles for a larger group
For a company party, transport decides how the night ends. Parking and arrival plans depend on your guest count; we confirm them with your proposal, including shuttle or valet options for larger groups. Many companies run a shuttle from the office or a central point in Manhattan, which also means nobody has to drive home. The house is about 30 minutes by car from Columbus Circle, depending on traffic, and Metro-North's Hudson Line also stops in Yonkers. Directions are on getting here.
Food and drink
Work with one of our preferred caterers or bring an approved caterer of your own. A seated dinner, food stations or a long-table supper all work in the house, and every cuisine and tradition is welcome, which matters for a team that does not all eat the same way. Ask your caterer to plan dietary needs from the RSVP list rather than on the night.
A simple planning timeline
- As soon as you can: send your dates, headcount, format and budget through our inquiry form, and visit the house.
- Once the date is held: confirm the rooms, then book the caterer, the band or DJ, and audiovisual.
- About two weeks before: share the run of show, the floor plan, the vendor list and the transport plan.
- The week of the party: confirm the final headcount and the shuttle times.
Galas and fundraisers follow the same plan, with more time for the program and the seating chart. The essentials are on our holiday parties page. Offsites, board meetings and launches are on our corporate page, and our events page shows the house set for company days. Guests who ask about the house can read the story of Alder Manor.
To check a date, send a corporate inquiry with your headcount and format. We will reply with open dates and invite you to walk the rooms.
