Privacy Policy
Last updated October 4, 2026
Alder Manor is a historic event venue at 1097 N Broadway, Yonkers, NY 10701. This policy explains, in plain English, what personal information we collect when you use our website, contact us, book a tour, review a proposal, sign an agreement or use our client portal — and the choices you have.
The short version
- We collect what you tell us so we can plan your event, plus basic technical data needed to run the site.
- We do not sell your personal information, and we do not share it for targeted (cross-context behavioral) advertising.
- We use essential cookies, and analytics or advertising cookies only if you opt in.
- We send marketing email only if you ask for it, and every marketing email has an unsubscribe link.
- You can ask to see, correct or delete your information at any time.
Information we collect
Information you give us
- Inquiry form: name, email, phone, whether you are a planner or producer (and your company and client’s name), event type, date, guest count and flexibility, your vision for the event, mailing address, Instagram handle, how you heard about us, whether you have visited, and whether you want marketing emails.
- Tour bookings: name, email, phone, event details, who is attending and any notes.
- Proposals and agreements: the name you type to accept or sign, your email, and a record of the date, time, IP address and browser (user agent) used, so the signature can be verified.
- Client portal: the email address we send your sign-in link to, and the planning details you share (for example timelines, guest counts and vendor information).
- Payments: we keep records of amounts, dates and payment method type. We do not collect or store card numbers on this website.
- Messages: anything you send us by email, phone or through the site.
Information collected automatically
- Technical data: IP address, browser and device type, pages requested and timestamps, recorded in our hosting provider’s server logs for security and troubleshooting.
- Visit statistics: we count visits ourselves, without cookies: for each public page you open we store the page (without anything after a “?”), the day and the hour (not the exact time), the site that referred you, any campaign tags in the link, your country (worked out from your IP address), whether you use a phone, tablet or computer, the type of browser and operating system, and an anonymous code that changes every day. The code is made from your IP address and browser details mixed with a random value that exists for one day only; your IP address is never stored, and our staff see only totals, never single visits. Until the day ends our systems could recompute the code for someone whose IP address and browser they already knew; once the random value is deleted, shortly after midnight (New York time), no one can link the code to you or connect your visits across days. Nothing is sent if your browser sends Do Not Track or Global Privacy Control, and private and personal-link pages are never counted. Our hosting provider’s cookie-free analytics (Vercel Web Analytics) also counts page views, the referring site, country and device type as totals. Neither sets cookies, and we don’t use either to identify you. If you allow analytics cookies, Google Analytics 4 (Google) also measures visits and which pages are useful; see our Cookie Notice.
- Email engagement: our emails may tell us whether a message was opened and which links were clicked, so we know it arrived and can follow up sensibly.
- How you found us: the site that referred you, any campaign link details (such as UTM tags or an ad click identifier) and the first page you visited. This is kept in your browser for up to 90 days and sent to us only with an inquiry or tour booking, so we can see which channels bring guests to us.
- Cookies and local storage: only what the site needs to work. See our Cookie Notice.
Information from others
Planners, producers, colleagues or family members may give us your details when they plan an event with you or refer you to us. Vendors working on your event may share details needed to deliver their services.
How we use your information
- To answer inquiries, schedule tours and prepare proposals and agreements.
- To plan, staff and run your event, and to keep payment and booking records.
- To send service emails about your inquiry, tour, proposal, agreement or event.
- To send marketing emails, only if you opted in. You can unsubscribe at any time.
- To keep the site secure and prevent spam, fraud and misuse.
- To improve our services and to comply with legal, tax and accounting obligations.
Our team uses software tools, including an AI assistant, to help organize inquiries, draft replies and prioritize follow-up. A person on our team makes the decisions. We do not make decisions with legal or similarly significant effects about you based solely on automated processing.
How we share information
We share personal information only as described here:
- Service providers that work for us under contract and may use it only to provide their services: website hosting and cookie-free visit statistics (Vercel), database and file storage (Supabase, United States), email delivery (Resend), business email and calendar (Google Workspace), and AI assistance for our staff (Anthropic).
- People working on your event, such as your planner or vendors you choose or ask us to coordinate with.
- Legal and safety reasons, when required by law or to protect rights, property or safety.
- Business changes, such as a sale or transfer of the venue, under this policy’s protections.
We do not sell personal information, do not share it for cross-context behavioral advertising, and do not disclose it to third parties for their own direct marketing.
Categories of information (state-law notice)
For residents of California and other states with privacy laws, here is the same information by legal category.
| Category | Examples | Disclosed to | Sold or shared |
|---|---|---|---|
| Identifiers | Name, email, phone, mailing address, IP address, Instagram handle | Service providers; your event team | No |
| Customer and commercial records | Event details, proposals, agreements, signatures, payment records | Service providers; your event team | No |
| Professional information | Planner status, company, client name | Service providers | No |
| Internet activity | Server logs, pages visited on this website (counted without cookies), email opens and clicks | Service providers | No |
| Inferences | Internal follow-up priority for an inquiry | Service providers | No |
We do not collect sensitive personal information (such as government ID, financial account or precise location data) through this website, and we do not use any personal information to infer characteristics about you beyond planning your event.
How long we keep it
We keep information only as long as we need it:
- Inquiries and tour bookings that do not become events: up to 3 years after our last contact, then deleted or anonymized.
- Agreements, signatures and payment records: for as long as the law requires for contract, tax and accounting purposes (generally 7 years after the event).
- Marketing preferences: an unsubscribe is kept permanently so we never email you again by mistake.
- Server logs: kept for a short period set by our hosting provider.
- Our own visit statistics: 13 months, then deleted. The random value behind the anonymous code is deleted shortly after midnight (New York time) at the end of its day.
How we protect it
We use reasonable administrative, technical and physical safeguards, including encrypted connections (HTTPS), access limited to staff who need it, signed links for proposals and agreements, and providers with strong security programs. No system is perfectly secure. If a breach affects your information, we will notify you and the authorities as the law requires.
Your choices and rights
- Marketing email: use the unsubscribe link in any marketing email. We honor it promptly (always within 10 business days).
- Access, correction, deletion and a copy: anyone, wherever they live, can ask to see the personal information we hold about them, correct it, delete it, or receive a copy.
- Opt-outs: we don’t sell or share personal information, use it for targeted advertising, or use it for profiling with significant effects, so there is nothing to opt out of. We still honor any request you send.
- No discrimination: we will not treat you differently for using your privacy rights.
How to make a request
Use our privacy request form or email privacy@aldermanor.com. To protect you, we verify requests by confirming control of the email address we have on file, and we may ask for a detail from your inquiry. You may use an authorized agent, who must show written permission from you. We respond within 45 days (we will tell you if we need more time, as the law allows).
If we decline a request, you can appeal by replying to our decision or emailing privacy@aldermanor.com with the subject “Appeal”. If you are not satisfied with the outcome, you may contact your state Attorney General.
Global Privacy Control and Do Not Track
If your browser sends a Global Privacy Control (GPC) signal, we treat it as a valid request to opt out of the sale or sharing of your personal information and of any optional cookies, for that browser. You can check its status under . Because we do not track visitors across other websites, “Do Not Track” browser settings don’t change how this site works, and we do not allow third parties to collect information about your activity on our site over time and across other sites.
Children
Our website and services are for adults planning events. They are not directed to children under 13, and we do not knowingly collect personal information from children under 13. If you believe a child has given us information, contact us and we will delete it.
Visitors outside the United States
Alder Manor is based in New York, and our service providers store information in the United States. If you contact us from another country, your information will be transferred to and processed in the United States.
Changes to this policy
We may update this policy from time to time. We will change the “Last updated” date above and, for significant changes, tell you by email or with a notice on the site.
